What a Rent Receipt Must Include

A rent receipt is a legal document that confirms a rental payment was received. Unlike a retail receipt, it contains no sales tax (residential rent is tax-exempt in all US states) and its required fields are defined by the landlord-tenant law in many states rather than by commercial convention.

The primary differentiator is the period covered field. A rent receipt is not a point-in-time transaction record. It documents that a specific period of occupancy (e.g. May 1–31, 2026) has been paid. This is what distinguishes it from a general payment receipt and makes it the correct document for lease disputes, mortgage applications (rental history verification), and state tax rent credits.

Rent Receipt: Frequently Asked Questions

Is residential rent subject to sales tax?

Residential rent is not subject to sales tax in any US state. Commercial rent is taxed in Florida (the only state with a commercial rental tax, currently around 4.5%). The template flags the property type and applies the correct treatment, zero tax for residential.

What period should a rent receipt cover?

Most rent receipts cover a calendar month with explicit start and end dates (e.g. May 1–31, 2026). Pro-rated partial months show the actual start and end dates with the calculated amount. The template supports monthly, pro-rated move-in, and pro-rated move-out formats.

Can a rent receipt include pet rent, parking, or utilities?

Yes. Pet rent, assigned parking, and landlord-billed utilities (water, trash, pest control) each appear as separate line items with their own amounts. This keeps the base rent separate from add-ons, which matters for security deposit calculations and lease dispute documentation.

Is a landlord legally required to provide a rent receipt?

Several states require landlords to provide rent receipts when tenants pay in cash, including California, Maryland, Washington, and others. Even where not legally required, a receipt protects both parties by creating a written record of payment.

How is a late fee shown on a rent receipt?

A late fee appears as a separate line item (e.g. LATE FEE — AFTER 5TH OF MONTH: $75.00). The receipt shows the base rent and the late fee separately so the tenant has a clear record. Late fee caps are regulated by many states and cities.

What payment method fields does the rent receipt support?

The template supports check (with check number), ACH/bank transfer (with confirmation number), money order, cash, Venmo, Zelle, and online payment portal. The payment method and reference number print on the receipt for dispute resolution.
