Donation Receipt Generator

Create 501(c)(3) donation receipts that meet IRS Publication 1771 requirements. Includes the charity EIN, donor name and address, donation amount, and the no-goods-or-services statement required for tax deductions over $250. Supports cash and in-kind donations. Free. PNG or PDF.

Donation receipts include the 501(c)(3) organization name and EIN, donor name and address, donation date, amount or fair market value of in-kind gifts, statement that no goods or services were provided in exchange (or describing them), and authorized signature. The IRS requires written acknowledgment for any donation of $250 or more for tax-deduction purposes. Receipts are used for itemized tax deductions on Schedule A, corporate giving documentation, and matching gift programs.

What a 501(c)(3) Donation Receipt Must Include

A donation receipt from a 501(c)(3) organization serves as both a thank-you letter and a legal document. For any single donation of $250 or more, the IRS requires a written acknowledgment before the donor can claim a deduction on their federal return. The acknowledgment must confirm whether the charity provided any goods or services in exchange for the contribution and, if so, their fair market value.

The most critical field is the no-goods-or-services statement. If the donor received nothing in return, the receipt states that explicitly. If the donor received something of value (a tote bag, a gala ticket, a parking pass), the receipt must disclose the fair market value and reduce the deductible amount accordingly. The charity EIN prints in the header so donors can verify 501(c)(3) status on the IRS Tax Exempt Organization Search database.

Donation Receipt: Frequently Asked Questions

What makes a donation receipt valid for the IRS?

For donations over $250, the IRS requires a written acknowledgment with the charity's name, the donation amount, a statement that no goods or services were provided in return (or a description and fair-market-value estimate if they were), and the donation date. The template includes every required element.

What is the no-goods-or-services statement?

IRS Publication 1771 requires a statement that the charity provided no goods or services in exchange for the donation. The template includes this statement by default. If donors received something in return (event tickets, merchandise), a quid pro quo section lists the fair market value with the deductible amount calculated.

Does the receipt include the charity's EIN?

Yes. The Employer Identification Number (EIN, also called tax ID) prints in the header. This is the charity's federal identifier and is required for donor tax records. Donors can verify the charity's 501(c)(3) status by looking up the EIN on the IRS Tax Exempt Organization Search tool.

How is an in-kind donation shown?

In-kind (non-cash) donations print with a description of the donated items and a donor estimated value. Charities do not assign value to donated goods; the donor is responsible for valuation. The template supports clothing, vehicle, stock, and other in-kind donation formats.

Are donation receipts taxable?

Donations are not subject to sales tax. They are charitable contributions, not retail purchases. The template does not apply any sales tax to donation receipts.

Can I include multiple donations on one receipt?

Yes. Year-end consolidated statements often summarize all donations from a single donor across the tax year. The template supports itemized donations with dates, amounts, and fund designations, plus a total annual giving line at the bottom.

What is the threshold for requiring a written acknowledgment?

The IRS requires a written acknowledgment for any single donation of $250 or more. For donations under $250, a canceled check or bank record is generally sufficient. Providing a written receipt for all donations regardless of amount is best practice for both the charity and the donor.

Can I issue a receipt for a recurring monthly donation?

Yes. Recurring monthly donors can receive individual receipts per payment or a consolidated year-end statement. The template supports both formats. For monthly giving programs, the year-end statement lists each payment with date and amount, totaling the full year's contribution in one document.
