Taxi Receipt Generator

Use this taxi receipt template to build the fare from a flag drop, per-mile rate, wait-time charges, tolls, airport surcharges, and tip. Supports metered, zone-based, and rideshare-style fare structures. Free. Download as PNG or PDF.

A taxi or cab receipt includes the taxi company name, medallion or vehicle number, driver name, pickup and dropoff addresses, trip distance and duration, base fare, per-mile rate, waiting-time charge, tolls, airport surcharge, tip, and total. Common metropolitan rates include $3-$4 base fare, $2.50-$3.50 per mile, and $0.50 per minute waiting. Receipts are required for business mileage reimbursement, conference travel records, expense reports, and per-diem documentation.

How a taxi fare is built line by line

A taxi receipt's total is assembled from metered components. Each component is a separate billable line: the flag drop activates when the passenger enters, the per-mile charge accumulates as the cab moves, and the per-minute wait-time charge accumulates when the cab is stopped in traffic or waiting at a destination.

The primary differentiators are flag drop disclosure and regulated surcharges. The flag drop is the metered initial charge (usually $2.50–4.00 depending on the city) that appears as the first line on every taxi receipt. Airport and late-night surcharges are mandated by local taxi commissions and must be shown separately from the metered fare. Tolls are always pass-through at actual cost.

Frequently asked questions about taxi receipts

How is a taxi fare calculated?

Taxi fares start with a flag drop (initial charge of $2.50–4.00), then add per-mile (typically $2.50–3.50/mile) and per-minute wait time (around $0.35–0.60/min). The template supports all models.

What are airport and late-night surcharges on a taxi receipt?

Many cities allow flat surcharges for airport pickups ($2–5) and late-night hours ($0.50–2 per trip). These are regulated by the local taxi commission. Enter each surcharge as its own line, since the editor does not add them automatically.

How are tolls shown on a taxi receipt?

Tolls paid during the trip appear as a separate TOLLS line with the dollar amount. In most jurisdictions, tolls are passed through at cost with no markup. Bridge and tunnel tolls are common in New York, Boston, and other cities and must be separately itemized.

Does a taxi receipt include driver and cab details?

Yes. The taxi company or cab number, driver ID or medallion number, and taxi commission license number appear in the header. These are required for dispute resolution and required by most corporate expense policies for taxi reimbursement.

How is tip handled on a taxi receipt?

Many taxi credit card terminals suggest 20%, 25%, and 30% tip percentages. The editor has no tip field, so add a tip as its own line item, or leave it off for a cash fare where the tip is not documented.

Can a taxi receipt document a rideshare or app-based trip?

Yes. The template supports rideshare-style receipts (Uber, Lyft format) with a base fare, booking fee, wait-time charge, surge multiplier, and tip. The key difference from a traditional taxi receipt is the absence of a medallion number and the addition of a trip ID.
