What a Subscription Receipt Must Disclose
Subscription receipts document recurring charges for SaaS, streaming, membership, and other auto-renewing services. Beyond the charge amount, a legally compliant subscription receipt must include a recurring billing disclosure, the next renewal date, and a path to cancellation. Multiple state laws and the FTC Click-to-Cancel rule require that cancellation be as easy as signup, and many states mandate that the receipt or confirmation email provide a direct cancellation link.
Sales tax treatment varies significantly for digital subscriptions. States like Texas, Pennsylvania, New York, and Washington tax SaaS and streaming services. Others, including California and Florida, largely exempt them. The template applies the state-appropriate rule. For business subscribers, SaaS and professional tool subscriptions are deductible as ordinary business expenses; the receipt includes a business-purpose field for expense reports.

Subscription Receipt: Frequently Asked Questions
Why do subscription receipts include a cancellation link?
Many states (California, New York, and others) and the FTC's Click-to-Cancel rule require subscription services to provide an easy cancellation path. The receipt links directly to the cancellation page to meet this legal requirement. The template includes a cancel link in the footer by default.
Is a subscription taxable?
Subscription services (SaaS, streaming, digital goods) are taxable in many states including TX, PA, NY, OH, and WA as digital services. Some states exempt them. The template applies the state-appropriate rule based on the customer's billing address when a state is selected.
How is the next renewal date shown?
A next renewal date appears on every subscription receipt. This tells the customer when the next charge will occur and how long the current period runs. The template calculates the next date based on the billing period (monthly or annual).
Can I include an annual versus monthly discount?
Yes. Annual plans often include a 10 to 20 percent discount over the equivalent monthly rate. The template supports both plans and calculates the effective per-month cost for annual subscriptions so customers can compare the value clearly.
How is a free trial converted to paid shown?
When a free trial ends and the first paid charge occurs, the receipt includes a trial-converted notation. This complies with FTC negative-option rules requiring clear disclosure when a trial becomes a paid subscription. The template prints this by default.
Does the receipt support plan upgrades or downgrades?
Yes. Plan changes print with a pro-rated credit or charge for the unused portion of the old plan and a pro-rated charge for the new plan. The template supports mid-cycle upgrades, downgrades, and plan swaps with automatic pro-rata calculations.
Can I deduct subscription fees as a business expense?
Yes, if the subscription is used for a business purpose. SaaS tools, project management platforms, professional journals, and trade association memberships are deductible as ordinary business expenses. Personal entertainment subscriptions (streaming video, gaming) are not deductible. The template includes a business-purpose field for expense report submissions.
How do I cancel an unwanted subscription?
Contact the service directly through the cancellation link on the receipt or in the account settings. Under the FTC Click-to-Cancel rule, services must provide a cancellation mechanism at least as easy as the signup process. If the subscription is billed through a third-party app store (Apple, Google), cancellation goes through that store rather than the service itself.
